Workshop repair orders
A workshop that takes in a customer’s equipment and returns it repaired: a printed receipt signed by both sides, an estimate approved before work starts, spare parts leaving stock with their accounting effect, and an invoice on delivery — or a warranty delivery with no invoice, charged to the warranty expense account.
Customer equipment
Path: Workshop → Customer equipment — /wshop/equipment
What it does: A piece of equipment is a record belonging to the customer, not text retyped on every order: a vehicle by its plate, a device by its serial, a machine by its make and model. With it, «this machine’s history» becomes a screen rather than a search through paper.
| Field | Description |
|---|---|
| Kind | Vehicle, device or machine — the kind decides what identifies it. |
| Plate / serial | A vehicle by its plate, a device by its serial — or by make and model together. |
| Make, model, year | Its description. |
| Customer | Its owner — equipment does not exist without one. |
| Equipment history | Every previous repair order on it. |
The repair order and its status cycle
Path: Workshop → Repair orders — /wshop/orders
What it does: The document that travels with the equipment from the workshop door and back: the customer’s complaint, then the technician’s diagnosis, then an estimate to approve, then parts issued and labour charged, through «ready» to delivery.
| Field | Description |
|---|---|
| Order number and receipt date | The document and the moment the equipment came in. |
| Equipment and customer | From the equipment register; the customer comes with it. |
| Meter on receipt | The meter reading — evidence in a dispute. |
| Customer complaint | In their own words. |
| Technician diagnosis | What was actually found — which is not the complaint. |
| Order lines | A line per part or labour, with its technician, price and VAT. |
| Approval channel | Phone, in person or WhatsApp — recorded, because approval is a commitment. |
| Days in shop | From receipt until today — the delay measure. |
The workshop board
Path: Workshop → Workshop board — /wshop/board
What it does: Everything in the workshop right now, laid out by status: waiting for an estimate, waiting for approval, under repair, ready but not collected. A morning screen for whoever runs the floor, not for data entry.
Technicians
Path: Workshop → Technicians — /wshop/technicians
What it does: The technician register — and a technician is assigned to an order line, not to the whole order, so an order two people worked on measures each one’s share.
| Field | Description |
|---|---|
| Code | Generated automatically. |
| Name, Arabic and English | The technician in both languages. |
Workshop settings
Path: Settings → Workshop tab — /maintaniance/Settings?tab=wshop
What it does: Three settings, fixed once, that govern every order afterwards.
| Field | Description |
|---|---|
| Approval mandatory above | Above the threshold, no parts are issued and no repair starts without the customer’s approval. Zero = not mandatory. |
| Default parts warehouse | The store parts are issued from. |
| Disclaimer text | Printed at the foot of the receipt. |
